JOB GOAL:

Under direction schedules Special Education and assists with Regular Education busing. Enters all transportation information into the Principal’s aide program.

Revises all bus rosters and keeps contact with the bus drivers to ensure that they are updated correctly.

Administers the scheduling and operations of district vehicles. Manages employees driving record information.

Keeps record of employee leave and submits weekly reports to the payroll department. Assists the Transportation Assistant in documenting bus complaints and helps with Per Capita Bus Feeder information.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Issue busing information and bus passes to all new students, or to students that have a change of address:

Look up address on atlas/map and find out what bus number is in that area. Prepare bus passes for students.

Make copy of the busing information for parents.

 

Assign busing for Special Education students which includes the following duties:

Look up address on map then find out what bus number is in that area. Contact the bus driver to be sure the pick up and drop off times are accurate. Inform bus driver of any changes to roster.

Call school and notify of students busing information or bus roster changes. Maintain records on all Special Education bus students’ information.

Sets up substitutes when Special Ed bus drivers and aides are absent.

 

Enter Transportation information into the Principal’s aide:

Enter student counts into transportation program. Enter change of addresses.

Enter bus numbers and bus sequences.

 

Revise bus rosters:

Distribute copies of rosters to each bus driver for revisions.

After rosters are received from bus drivers, enter and delete new names. Distribute revised bus rosters to drivers for confirmation.

 

Schedule and issue out vehicles for activity trips:

Calculate the mileage for all activity vehicle (suburban) trips and submit to Accounts Payable.

Report vehicle inspections to Maintenance.

 

Manage employee driving record checks:

Review staff members files to make sure that driver's record checks are updated yearly. Send out memos to those who have expired licenses, physicals or insurance.

Keep record of all employees’ driving record information on a spreadsheet. Check that all documents are returned and filed.

 

Manage absentee reports:

Keep record of employee leave and submit weekly reports to the Payroll Dept.

Find substitutes for sick bus drivers and bus assistants.

 

Manage time cards of Transportation staff members:

Check accuracy of bus driver and bus assistant time cards, get the director’s signature, and submit to the Payroll Dept.

Collect substitute time cards and submit to the Payroll Dept.

 

Bus complaints :

Write down information on bus complaint forms. Distribute bus complaint to Director of Transportation.

Call parents and notify them of action taken regarding their complaint then; follow up with a letter.

 

Assist Transportation Assistant with per capita bus feeder:

Request absence reports for per capita bus feeder students from schools monthly. Calculate vouchers and submit to Accounts Payable.

Record amount they will receive in database.

Inform bus feeder applicants of insurance expirations. Performs related duties as required.

KNOWLEDGE OF:

District transportation policies, practices and vehicles. Requirements for bus driver and aides operating permission. Preparing letters, documents, and reports.

Modern office procedure, equipment and practices. Filing systems.

District policies and procedures.

Basic record keeping and filing techniques.

Correct English usage, grammar, spelling, punctuation, and vocabulary. Telephone techniques and etiquette.

Computer and software operation. District organization and operations.

 

ABILITY TO:

Schedule and administer bus and vehicle operations. Maintain current operation permission for drivers and aides.

Perform modern office practices, procedures, and operate equipment. Perform clerical duties such as filing, duplication, and maintaining records. Operate a computer terminal and software programs.

Understand and follow oral and written directions. Meet schedules and timelines.

Prepare reports, letters, and other documents. Maintain files and records and retrieve information. Work cooperatively with others.

Communicate effectively both orally and in writing. Word process at 40 WPM

 

EDUCATION AND EXPERIENCE:

High school diploma or general education degree (GED); one year related experience in a school office preferred.

 

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Ability to write routine reports and correspondence.

Ability to speak effectively before groups of customers or employees of organization.

 

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

 

REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

Ability to deal with problems involving several concrete variables in standardized situations.
